The Role 

 

The Support Team Assistant will provide administrative support to the infrastructure support team, department, and other internal customers. Primarily responsible for processing timesheets and raising purchase orders onto our internal system (SAP), coordinating requests for stationery, pre-printed stationery items, vehicles related to the department, work orders, meeting rooms, and other requirements received from internal customers via the department’s helpdesk (UKTADMIN). The Support Team Assistant will also cover the main aspects of the Document Services Operative Position (Post-room). 

 

An RPS (Radiation Protection Supervisor) course to understand the properties and safe practices of working with radiation, is a requirement in order to comply with Legislation. 

 

Principal Accountabilities, Qualifications and Experience

 

  • Liaise with appropriate departments and companies to ensure that the Infrastructure Support Team helpdesk requests and issues are responded to effectively.
  • Provide stationery and other items via online order systems and/or utilising existing stock. Tracking orders and arranging deliveries whilst monitoring invoices and costs for the items to ensure best value practices. 
  • Provide cover and assist other team members during times of absence and busy periods.
  • Process team timesheets onto SAP on a monthly basis and raise purchase orders and frameworks for orders and contracts. 
  • Have an awareness of Health, Safety, and Security issues that affect the work of the Support Team and Infrastructure Division including regular safety walkabouts. 
  • Involvement with the tender processes and daily contract management with regard to stationery, and printed stationery, including meeting arrangements, audits, and access issues. 
  • Collecting mail from our Longport Security and delivering it to each division. 
  • Participate in regular audits and safety walkabouts, relating to the support team and infrastructure division. 
  • Raise requisitions, purchase orders, and receipt of invoices in SAP.
  • Assist with regular updating of specific applications linked to support team administrative tasks. 
  • Meeting reports for services.
  • Work closely with the French team and may be called upon to replace a colleague in France. 
  • Make appointments for medical visits as and when required. 
  • Create and arrange security (preannouncements) for visitors on site. 
  • Organising training courses for infrastructure services. 
  • Use best judgement to decide whether requests are reasonable on a volume and cost basis and supply from stock as appropriate. 
  • Any problems/decisions outside of expertise and authority, are to be referred to the Support Team Leader.
  • Educated to GCSE level or equivalent. Grades C or above in English and Mathematics.
  • Customer Service experience in a busy office environment is essential. 
  • Knowledge of applications to track and record timesheets and expenses. 
  • Knowledge of on-line purchasing is desirable. 
  • Proficient in the use of Microsoft Office (Word, Outlook, Excel, PowerPoint, SharePoint etc.)    
  • The ability to communicate in French and/or another European language is desirable.
  • A valid Passport and Driving Licence is essential.
  • To meet the required medical standard for this role.
